By using our Service, you agree to this Refund Policy.
2. Subscription Refunds
2.1 Free Trial Period
- Duration: 14 days
- No Credit Card Required: You can try the Service without payment
- No Refund Needed: Since no payment is collected during the trial, no refund is necessary
- Cancellation: You can cancel anytime during the trial with no charges
2.2 Monthly Subscriptions
General Policy
- No Refunds: Monthly subscription fees are non-refundable
- Cancellation: You can cancel at any time
- Access Continues: You retain access until the end of your current billing period
- No Partial Refunds: No refunds for partial months

If you subscribe on January 15 and cancel on January 25:
- You are charged for the full month (January 15 - February 14)
- You retain access until February 14
- No refund is provided for the unused portion
2.3 Annual Subscriptions

2.4 Upgrade/Downgrade Refunds
Upgrades (Mid-Cycle)
- Prorated Charges: You pay the difference for the remaining billing period
- Immediate Access: Upgraded features available immediately
- No Refund: Upgrade fees are non-refundable
Downgrades (Mid-Cycle)
- No Immediate Refund: Downgrade takes effect at the end of current billing period
- No Prorated Credit: No credit for unused features
- Access Continues: You retain current plan features until period ends
2.5 Exceptional Circumstances
We may provide refunds in exceptional circumstances:
Service Failures:
- Extended outages beyond SLA commitments
- Critical features unavailable for extended periods
- Data loss due to our error
Billing Errors:
- Duplicate charges
- Incorrect amounts charged
- Charges after cancellation
Fraudulent Charges:
- Unauthorized account access
- Stolen credit card usage

3. Platform Fee Refunds
3.1 Platform Fee Policy
Platform Fee: $0.99 per donation transaction
General Rule: Platform fees are non-refundable
3.2 When Platform Fees May Be Refunded
Platform fees may be refunded if:
Technical Errors:
- Duplicate donation processing due to system error
- Failed donations that were incorrectly charged
- System glitches causing incorrect fee calculation
Fraudulent Donations:
- Donations made with stolen credit cards (after chargeback)
- Fraudulent transactions identified by Stripe
Refunded Donations:
- If a donation is fully refunded to the donor, the platform fee is also refunded
- Refund processed automatically with the donation refund
3.3 Platform Fee Refund Process
- Platform fees are automatically refunded when donations are refunded
- For technical errors, contact support@ekkleios.com
- Provide transaction details and error description
- We will investigate and process refunds within 5-10 business days
3.4 Platform Fees Are NOT Refunded For
- Subscription cancellations
- Dissatisfaction with the Service
- Changes in donation volume
- Switching to another platform
- Normal business operations
4. Donation Refunds
4.1 Important: Ekkleios Does Not Control Donations
Key Points:
- Donations go directly to the receiving organization's Stripe account
- Ekkleios does not hold or control donated funds
- Organizations are responsible for donation refunds
- Donors must contact the organization for refund requests
4.2 Organization Responsibility
Organizations using Ekkleios are responsible for:
- Setting their own donation refund policies
- Processing donation refunds through Stripe
- Communicating refund policies to donors
- Handling donor refund requests
4.3 How Donation Refunds Work
For Donors:
- Contact the organization you donated to
- Request a refund according to their policy
- The organization processes the refund through Stripe
- Refund appears on your card in 5-10 business days
For Organizations:
- Review your refund policy and the donor's request
- Process refund through Stripe dashboard or Ekkleios admin
- Platform fee is automatically refunded
- Stripe processing fees are not refunded by Stripe
4.4 Stripe Processing Fees
Important: Stripe does not refund processing fees (2.9% + $0.30) even when donations are refunded.
Example:
- Donor gives $100
- Stripe fee: $3.20
- Platform fee: $0.99
- Organization receives: $95.81
If refunded:
- Donor receives: $100
- Platform fee refunded: $0.99
- Stripe fee NOT refunded: $3.20
- Organization's net cost: $3.20
4.5 Fraudulent Donation Chargebacks
If a donor disputes a charge with their bank:
- Stripe handles the chargeback process
- Organization may be charged a chargeback fee ($15)
- Platform fee is refunded
- Organization should provide evidence to Stripe if the donation was legitimate
5. Refund Processing
5.1 Refund Methods
Refunds are processed to the original payment method:
- Credit/debit card refunds: 5-10 business days
- Bank account refunds: 5-10 business days
- Refunds cannot be issued as cash or check

6. Cancellation Policy
6.1 How to Cancel
You can cancel your subscription at any time:
- In-App: Settings → Billing → Cancel Subscription
- Email: support@ekkleios.com with "Cancel Subscription" in subject
- No Fees: No cancellation fees
6.2 What Happens When You Cancel
Immediate Effects:
- Auto-renewal is disabled
- No future charges
- Cancellation confirmation email sent
Access:
- You retain access until the end of your current billing period
- All features remain available until period ends
Data:
- You have 30 days after cancellation to export your data
- After 30 days, data may be permanently deleted
6.3 Reactivation
You can reactivate your subscription at any time:
- Log in to your account
- Go to Settings → Billing → Reactivate
- Choose your plan and payment method
- Access is restored immediately
7. Chargebacks and Disputes
7.1 Chargeback Policy
If you dispute a charge with your bank instead of contacting us:
- We will respond to the chargeback with evidence
- Your account may be suspended during investigation
- If chargeback is found to be invalid, your account may be terminated
- You may be liable for chargeback fees and legal costs

- We will work with you to resolve billing issues
- Most issues can be resolved quickly without chargebacks
- Chargebacks damage our relationship and may result in account termination
7.3 Fraudulent Chargebacks
Fraudulent chargebacks (claiming unauthorized charges when you authorized them) may result in:
- Immediate account termination
- Legal action to recover funds
- Reporting to fraud prevention services
8. Special Situations
8.1 Account Termination by Ekkleios
If we terminate your account for Terms of Service violations:
- No refunds are provided
- You forfeit any remaining subscription period
- You have 30 days to export your data
8.2 Service Discontinuation
If we discontinue the Service entirely:
- We will provide at least 90 days' notice
- Prorated refunds for unused subscription time
- Assistance with data export and migration
8.3 Force Majeure
No refunds are provided for service interruptions due to:
- Natural disasters
- Wars or terrorism
- Pandemics
- Government actions

- Organizations are responsible for issuing tax receipts
- Refunded donations should be reported to donors for tax purposes
- Donors should consult tax professionals about refunded donations
